These cost-saving ideas aren’t just to avoid problems with the budget department at headquarters. Often, companies have a fixed budget for business travel, and once that budget is exhausted, no further travel can be taken during that fiscal year. So, if you anticipate needing more business travel in the coming months, it’s wise to monitor your spending while traveling so you can save that limited budget to accommodate important upcoming trips.

Saving money while traveling can be difficult because you’re in the hospitality industry, which, while good at making you feel comfortable and catering to your needs, hotels and restaurants are also good at raising your bills. However, there are some easy ways to avoid unnecessary expenses and save on your business travel budget.

Eat before departure. Restaurants or snack bars at airports are notoriously expensive. So, even if you’re leaving very early, eat breakfast and make sure you’re full before you leave so you don’t have to buy food on the way.

Pack wisely. Consider your needs at the hotel and on the road. You can buy almost everything you need in a travel-sized bag. Additionally, you can bring some easy-to-carry snacks like mixed nuts, candy, or nuts to tide you over until you can eat a big meal. By being self-sufficient during your trip, you save a lot of money by avoiding airport services.

A hotel is just a bed, a bathroom, and a TV. When booking accommodations, think about where you’ll be staying. If you don’t need a luxury hotel, don’t book one. If you’re just staying overnight and then continuing your journey, a clean, well-maintained motel can meet your needs just as well as an executive suite at the Hilton.

Rideshare. If you’re traveling with a group or meeting business partners at your destination, you can share a taxi or rental vehicle and save on business costs and reduce unnecessary fossil fuel use.

Markets and food stores. You can even eat economically in a big city like New York or Orlando by using the same habits you do at home. By shopping ahead at the local grocery store, you can stock your room with fruits and food for the trip and cut down on eating out.

Public transportation. If your destination city has a subway or other safe and well-functioning public transportation, it can be much more efficient than renting a car. Washington, D.C., for example, has excellent train transportation that you can use instead of renting a car.

By using the same common sense you use at home to control expenses in your household budget, you can not only live frugally while traveling, but you can also live better. And by avoiding overspending on some very basic goods and services, you’ll feel better about your business trip and be known within your company as a smart traveler.
